Agenda and record
The meeting agenda was agreed to discuss the following items; • A brief update on progress and issues • A look around the bar, kitchen and flat to discuss clearing out and improvements (not minuted)
Lynn gave an update regarding numbers (18 definite and need 50) for the fish and chip van being low and it was agreed to advertise and create flyers. Open day on the 8 August now called the Community Pub Celebration Day. Agreed that it will be ticketed at £5. This would include food and entry into the raffle. Free bouncy castle, ice cream van, guess the teddy’s name and BBQ is arranged. Special guests Kevin Hollingdrake and the Yorkshire Vet have been invited. To contact Radio York to advertise. Since this meeting both these events have been postponed due to the sad loss of our friend and colleague Paul Smith
Wifi now transferred over but need to set up a guest wifi PT thanked Julian for setting up the wifi and the new electricity accounts. Committee WhatsApp group needs to have Graham, Will removed and Lynn and Jon and Amanda added. The Gold Cup Inn WhatsApp Group that Helen Guthe has administration control, should change to the Nether Silton Village Group (or similar) as it is a good general communication group. Need to ask Helen to do this. PT has now got keys cut for pub and flat. He will distribute to only those who need it. Agreed we would retain the key safe outside but need to raise the height. Check type of locks defined in the pub insurance, as we do not have a 5 lever mortice lock. Share certificates are ready to distribute. Need to arrange with MC (originally were going to do this on the Open Day, but may have to rethink). Letter box to be installed. MD to obtain from Sam Turners and to ask Alan Dennis to install. It was agreed that the bank account details to be held behind the bar in case card machine goes down. Paul to print and Lynn to laminate. Agreed we should have an emergency sim card for the EPOS. JB to discuss with MC. Still struggling for volunteers behind the bar. Need another push. Posters to be put up (JA to do). D&S article published online. Dog and Gun at Kayton responded with a nice comment. We need to say thanks, Sophie to message them. It was agreed that we should put an events board up in the pub, just as you walk in the door. PT suggested that we advertise in the Town and Village news. All agreed we need more footfall and this was a good idea. PT said thank you on behalf of the Committee to Lynn, Amanda and Margaret regarding the cricket and the pool team food. LWC wine tasting offer is not progressing. LF mentioned HC Wines in York. JA agreed to pick this back up and work with Tahira Bourchier to plan the event and report back. Aim to do this event in September. Large screen TV has been donated but a firestick is required to get ITV etc. JB to speak to MC to agree to purchase. Need to agree with Matt a list of approved suppliers and stock levels for ordering, along with maximum purchase price. Stock is being held behind the bar and is messy. Agreed we would use the kitchen and flat. Need to identify a delivery point. It was agreed that the shed should be cleared and used for this purpose. JA said that she needs to finish the paperwork review and training will be required for all. She will update the Committee at the next meeting. JA also mentioned she has been looking at funding opportunities. Unfortunately most of them need to see 1 years trading accounts, however JA has applied for funding through the Banks Group for up to £2k. There is also an opportunity for £1k grant through NYCC but it has to be for specific community event. It was agreed that we would continually monitor our events schedule, would need at least 1 months advance notice to apply. It was agreed that at the next meeting we would discuss the following; • How to increase footfall • Wine, gin and snack pricing • Increasing volunteer pool • Opening hours • Happy hour • Training Meeting closed and then a review of the state of the assets was done. Firstly agreed to clear out all broken furniture, appliances etc. All Committee members agreed to help.
